Inviting people, what each of the two roles can and cannot do, and why seats are the thing that actually decides whether an invitation goes out.

Inviting someone

Invite, then their email address and the role they should have. Kops does not send the email for you — it gives you a link to share, valid for 7 days, with a Copy Link button beside it.

There is no list of pending invitations anywhere. Once the dialog is closed the link is not recoverable, so copy it before you leave; if you lose it, invite the same address again.

Three things have to be true before the button works at all:

  • the workspace is on Pro — seats do not exist on lower plans, and the tooltip says Upgrade to Pro plan to invite members;
  • you are an admin — otherwise it says You don't have permission to invite members;
  • there is a free seat. Without one the button is disabled rather than sending an invitation that could not be honoured.

The same three are checked again when the invitation is accepted, so a seat taken in the meantime is caught then rather than letting somebody in over capacity.

The sidebar switcher has its own Invite members, and it behaves differently on purpose: it reads your seats first, and with none free it opens the add-seats dialog instead of the invite form. Buy the seat and it hands you straight to the invitation you were trying to write.

The Members tab does not do that — there the button is simply disabled, with the reason on hover. Same rule, two ways of meeting it.

The two roles

There are two, and the second one is the interesting one.

Owner is not a role — it is a position. It belongs to whoever created the workspace, it also carries the Admin role, and it cannot be handed over. Two things are its alone: renaming the workspace and deleting it. Everything else in the table an admin can do.

The line that surprises people is Employee and accounts: an employee can buy, but only with the Vinted accounts an admin has assigned to them, and they cannot connect a new one. That is deliberate — a connected Vinted account is a credential, and handing everyone the ability to add and remove them defeats the point of having roles. See Sharing.

Seats

One seat, one team member. They are an add-on you buy on top of Pro — see Account packs and seats.

The Members section shows {used} / {total} seats used above the list, with a bar. It is only drawn for people who can invite; an employee does not see the meter at all.

A suspended member is not removed. Their filters, their assignments and their history are all intact — they simply cannot get in, and they see a message telling them to ask you.

Reducing seats does not remove members. It caps how many can be active. Which of them ends up suspended is not something to leave to chance — release the seats you meant to release, from the over-capacity dialog in the subscription settings.

Changing a role

Pick a different role on the member's row. It takes effect straight away, on their next action — they do not have to sign out.

Two rows have no role picker and no remove button, by design: your own, and the owner's. You cannot demote yourself out of admin, and nobody can demote the owner.

Demoting an admin to employee does not remove the Vinted accounts they were using, but it does mean they now only reach the ones explicitly assigned to them.

Removing someone

They lose access to the workspace immediately. What they created stays — filters they own, accounts they added, orders they placed. Their seat is freed at once, but it stays on your bill until you also reduce the seat count.

"Permission required"

If someone reports a feature they cannot use, check their role before checking the plan. The interface distinguishes the two:

  • This feature requires the {plan} plan — a billing question, and the button goes to the upgrade.
  • Permission required — a role question. Their plan is fine.
